Here is a list of the fields (with details) for which a person can enter data for an organism.
| Authority | Refers the current species name for the organism. |

For use when a name change for the species has occurred since the reference publication was released. Use the current teleomorph species name for the main entry, and the name from the reference publication in these fields. |
| Anamorph genus Anamorph species Anamorph subepithet Anamorph authority |
For use if the species has an anamorph name mentioned in the reference publication or has a common, widely agreed-upon anamorph name. If the reference publication uses the anamorph name only, the current teleomorph name is used for the main entry and the anamorph name is entered into these fields without parentheses. If there is no agreed-upon teleomorph name, the anamorph name in parentheses is used for the main name entry, and is also entered into these fields without parentheses. |
| Herbarium Herbarium Number |
The name or abbreviation of the herbarium and specimen number of the organism studied in the reference publication. |
| Culture collection Culture number |
The name or abbreviation of the culture collection and specimen number of the organism studied in the reference publication. |
| Collector Collector no. Collector date |
The name of the collector, the specimen number and date of collection of the organism studied in the reference publication. |
| Donor Donor date Donor geog. |
These fields are for people who donated cultures and specimens for study specifically for the AFTOL project. It does not apply to people acknowledged in older reference publications who provided the organism. "Donor geography" refers to the donor's country. |
| Substrate | Substance on which organism was grown, especially concerning biotrophs; e.g. "On host leaves of Euphorbia pulcherrima." |
| Source of character | Life stage/condition of organism studied, e.g. "culture", "sporocarp", "thallus". |
| Voucher Notes | A catch-all field for anything that didn't fit in the fields above, such as name changes, additional herbarium and collection information, culture strain numbers, etc. |
